Virtual Secret Santa: How to Run One for a Remote Team
A remote exchange fails for two reasons: gifts arrive late, and nobody knows what the other person wants. Both are scheduling problems, not gift problems.
The four-week timeline

Draw names online, not in a spreadsheet

Set the budget so nobody overspends on postage
- State one number, not a range: $20 or $25 works for most teams.

- Say whether the company is reimbursing anything, and by when.
- Allow digital gifts explicitly so nobody feels forced to mail an object.
Gifts that travel well
- Anything flat and unbreakable: books, posters, sticker sets, socks, tea
- Shelf-stable food from your own region — local honey, chocolate, hot sauce, coffee
- Small desk objects: a phone stand, a good pen and notebook, a compact charger
- Digital picks: an ebook, a game, a class, a streaming or coffee card
- Skip liquids over a few ounces, candles in summer heat, and anything glass

Handling addresses without a privacy problem
Never post addresses in a shared channel. Collect them privately, share each address only with the one person shipping to it, and let anyone opt into a digital-only gift instead. For contractors or international teammates, default to digital rather than asking them to clear customs in December.
Running the reveal call
- Keep it to 30 minutes, whatever the group size.
- Go in a fixed order posted in the chat so nobody talks over anyone.
- Giver explains their pick in one sentence — that sentence is the actual gift.
- Have a plan for gifts that arrive late: reveal them in the chat with a photo.
